Few things make an administrator's phone ring faster than "the fridge is broken," "we're out of ice," or "it's freezing in here." New equipment requests hit my desk constantly. The hard part? The right answer depends entirely on what kind of building you run and who's using it.
There's no universal checklist. But after about 150 equipment-related orders over the past five years, I've found the decisions fall into three scenarios. Here's what I've learned—including where I got burned.
If you're buying for a typical office—a few dozen employees, a breakroom, maybe a kitchenette—your needs are straightforward but easy to get wrong.

The fundamentals haven't changed—you're just paying for heat, and you shouldn't pay for it while nobody's using it.
This is where the "just buy a fridge with an ice maker" logic falls apart. I've only worked with commercial kitchens and a couple of cafeterias, so I can't speak to high-volume restaurant scale. But I can tell you this: once you cross into food service, consumer appliances don't cut it.
A Manitowoc ice machine is the standard for a reason, and that reason isn't hype. These machines are built to be serviced, not replaced. Here's the outdated thinking: "Furnaces are cheaper to install; boilers are more expensive but better." The reality has shifted. What was best practice in 2020 may not apply in 2025. Modern condensing boilers are genuinely efficient, but the industry has moved hard toward heat pumps and hybrid systems. My experience is based on about 200 mid-range equipment orders, mostly office and light-commercial settings. If you're running a hospital, a hotel, or a 200,000-square-foot warehouse, your variables are completely different. For those, you need an engineering consultant, not an admin's opinion.
The mistake I see other buyers make is starting with a product rather than a constraint. You're not "in the market for a fridge" or "in the market for a boiler." You're in one of three situations:
If you're somewhere in between—say, a large office with ice in the breakroom and an aging boiler—then you actually have two separate decisions. Don't merge them into one "facilities upgrade" project unless you're already paying for engineering drawings.
There's a reason I hate the phrase "best equipment" used on its own. Equipment is only best relative to a set of conditions. A Bosch American-style fridge freezer is fantastic—for a breakroom. A Manitowoc ice machine is a workhorse—for a commercial kitchen. A tankless water heater saves money—when hot water demand is spread out. A condensing boiler or a heat pump makes sense—when your building envelope and distribution system support it.
The industry has evolved, and the options are better than they were. But the fundamentals haven't changed: define the problem, measure the constraints, then choose the equipment. That's it. Done.
And if anyone tells you there's one right answer for every building? They haven't been the person whose phone rings when the ice machine dies on a Friday. Trust me on that.
